The LWV GP wants to know, on a yearly basis, how much members are spending on League activities for which they have not been reimbursed.
Why Are We Asking Members to Keep Track of Their Non-reimbursed Volunteer Expenses?
1. Because these contributions are not a part of our budget, they have not, in the past, been tracked. Therefore, we have had no way of keeping track of what we believe is a sizable contribution to our League.
2. Because, when we ask others for contributions, it is important to tell them both our monetary and non-reimbursed contributions.
Why Don't Members Submit Bills for Reimbursement?
1. Sometimes the expense is so low that it would look foolish (e.g., 10 pages printed at Kinko's).
2. Sometimes the receipt is misplaced and it seems easier to let the expense slide.
3. Sometimes members are not aware that some expenses are legitimate volunteer expenses that might even be listed as income tax deductions (e.g., mileage or household expenses).
When Will We Begin Tracking Non-reimbursed Volunteer Expenses?
July 1, 2009, for the FY 2009-2010
How Can I Participate?
1. Fill out a "Non-reimbursed Volunteer Expense Form" that will indicate the types and amounts of expenses. Receipts or proof of expenditures are not required. Forms are available from the President, the Treasurer, Mary Zahler, and on the League website at non-reimbursed expenses
2. Turn in the Form to the Treasurer by July 15. If you wish, you can use one form for the entire year, or you can turn forms into the Treasurer at regular intervals.
3. The Treasurer will tabulate the Forms and include the amount of non-reimbursed contributions in the September Voter.
4. Below is a list of possible expenses:
a. Printing
b. Postage
c. Mileage ($.14/mile in 2009)
d. Workshops not reimbursed by the LWV GP
e. Books that help you perform your League tasks
f. A percentage of household expenses (small percent, perhaps 1-3%)of items such as phone, internet, mortgage, cell phone, taxes.
